The East Ipswich Camera Club (EICC) is committed to implementing and operating policies, processes and controls to maintain the confidentiality, integrity and availability of its, and its supplier’s and members’ personal information and comply with data protection legislation.
The primary objective is to ensure that EICC fulfils all of its personal information management obligations to members, suppliers and other interested parties.
EICC is committed to:-
1) Processing personal information only where this is strictly necessary for legal and regulatory purposes, or for legitimate organisational purposes
2) Processing only the minimum personal information required for these purposes
3) Providing clear information to natural persons about how their personal information can be used and by whom
4) Only processing relevant and adequate personal information
5) Processing personal information fairly and lawfully
6) Maintaining a documented inventory of the categories of personal information processed by the organisation
7) Keeping personal information accurate and, where necessary, up to date
8) Retaining personal information only for as long as is necessary, for legal or regulatory reasons, or for legitimate organisational purposes and thereafter ensuring timely and appropriate disposal
9) Respecting natural persons’ rights in relation to their personal information
10) Keeping all personal information secure
11) Only transferring personal information outside the UK and EU in circumstances where it can be adequately protected
12) Maintain records of processing of personal information
This privacy policy statement applies to all of EICC in its entirety. The EICC is a Data Controller and is not a Data Processor nor Joint Controller.
Information held by EICC is limited to that provided by its members when joining EICC and as updated from time-to-time, together with photographs, photographic merits, distinctions and membership information that is necessary to allow the efficient running of EICC. The information is held on the legal basis of the contract formed between EICC and its members by payment of the membership fee and acceptance of the EICC Constitution, Rules, and any additional consents given. Your personal information is held by EICC for the duration of your membership, plus up to one year. Your name, address, phone number and email address, provided by you to EICC are stored electronically and are password protected. It is only made available to EICC officials to the extent that is necessary for the performance of their duties.
Under current data protection legislation you have the following rights, subject to there not being any overriding legislation or obligations:
· The right to obtain a copy of your personal information
· The right to withdraw your consent for the processing of your personal information
· The right to request rectification of your personal information
· The right to erasure of your personal information
· The right to restriction of processing of your personal information
· The right to object to the processing of your personal information
· The right to portability of your personal information
You also have the right to lodge a complaint with the Information Commissioner’s Office (ICO) if we are unable to adequately address your request or concerns. We respond to requests under the above rights within one month of receiving the request or advise you of any extension required.
